Office Manager

Location: Dublin (On-site)
Hours: 30 hours per week, Monday–Thursday
Contract Type: Permanent

An exciting opportunity has arisen for a highly organised and proactive Office Manager to join a small but dynamic team in Dublin. This is a key role offering a varied workload across office administration, facilities coordination, and finance support. About the Role

You will be responsible for ensuring the smooth day-to-day running of the office, supporting senior management, and assisting the finance function. The role plays a central part in fostering an efficient office environment while providing hands-on support to HR, finance, and trading teams.

 

Key Responsibilities

  • Provide general office administration across all teams

  • Act as PA to senior management

  • Manage relationships with facilities/building management

  • Coordinate alarm access and office security codes

  • Handle local office supply procurement

  • Liaise with IT to ensure smooth operation of systems and equipment

  • Organise meetings, events, and visitor arrangements

  • Oversee health and safety protocols and documentation

  • Support HR with onboarding/offboarding processes

  • Prepare meeting packs, attend meetings and take minutes

  • Maintain document control and manage incoming/outgoing post

  • Assist with bank reconciliations and credit card expense tracking

  • Reconcile accounts payable and receivable

  • Provide audit support and assist with company secretarial tasks

  • Perform other ad hoc duties as needed

 

Skills and Experience

Essential:

  • Previous experience in office management within a small to medium-sized firm

  • PA/EA experience at senior management level

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)

  • Strong organisational and multitasking skills

  • Exposure to basic bookkeeping or finance support

  • Ability to work independently and as part of a team

  • Excellent verbal and written communication skills

Preferred:

  • Experience in event planning and coordination

  • Strong analytical and numerical ability

  • Excellent time management skills

Qualifications:

  • Leaving Certificate with pass grades in English and Maths (essential)

  • Diploma in secretarial, executive or business administration (preferred)
