Admin Assistant - Data Protection

SPEN are looking for an Administrative Assistant to join their data protection team in Glasgow on a contract basis. The ideal candidate must have adminsitrative experience, ideally within a data protection targeted business or role. 

Role: Data Protection Admin Assistant
Business: Scottish Power Energy Networks
Duration: 11 month initial contract
Location: Scottish Power, St Vincent Street, Glasgow/hybrid style working
Rate: £12.02ph + 36 days annual leave (pro rata)

Job Purpose Statement
To provide an efficient and effective service for the accurate and timely processing of data protection processes, support in ensuring records of data protection compliance are maintained, and making sure that internal and external stakeholders queries are being answered by the Data Protection Manager

Accountability Statements

  • To monitor incoming work and queries to the DP mailbox
  • To make sure records and logs for the Data Protection Team are up to date and maintained including but not limited to:
    • Data protection Impact Assessment
    • Legitimate Interest assessments
    • Transfer Impact Assessments
    • Third party contracts and due diligence
    • Data subject requests and EIRs
  • Assist Data Protection Managers in administration and record keeping on contract negotiations in relation to Data Protection
  • Acknowledge and communicate with customers when they enact their data subject rights.
  • Manage and maintain the Data Protection document library is up to date.
  • Make sure work is assigned to Data Protection Managers and deadlines are being met
  • Collection of technical and non-technical information from the business to ensure the accurate and timely completion of data subject requests and EIR requests.
  • Assist the Data Protection Team to provide the required information needed as part of external audits,
  • Liaise with the Corporate Data Protection Team and Legal teams as required to ensure compliance with the processes
  • Attend and where required minute meetings involving the Data Protection Manager(s)
  • Ad hoc requests as per the Data Protection Manager(s)

Criteria

  • IT literate and a minimum of 1 years experience within administration
  • SharePoint knowledge is desirable
  • Data protection knowledge is desirable
  • Excellent communication skills
