Technical Exhibitions Lead

Department: Global Applicants & Sport
Location: EU-based events (99% of exhibitions take place within the EU)
Start Date: As soon as possible
Contract Duration: Until approx. 17th October 2025
Reason for End Date: Project work slows down significantly in November

Scope of Work
- The contractor will support approximately four exhibitions during the contract period (August to October).
- They will be responsible for the technical execution of each event - from build-up to breakdown.
- This includes managing booth equipment, AV supplies, technical oversight, and health & safety compliance.
- The person will be required to travel on-site and remain present for the entire duration of the event, including setup and dismantling.
Typical duration per event:
- Small events: 2-3 days on-site
- Larger exhibitions: 4+ days, depending on complexity

Key Responsibilities
- Serve as the on-site technical lead at exhibitions
- Oversee booth logistics, AV setup, and tech supply coordination
- Liaise with partners (e.g. institutions in Wales) to align technical delivery with event goals
- Review existing event plans and suggest improvements
- Determine technical needs per event - what is actually required to deliver a high-quality experience
- Draft and manage Health & Safety documentation
- Be comfortable navigating complex or disjointed collaboration, as some projects involve more than one organisation but limited coordination

Candidate Profile
- Strong background in technical exhibition support, AV coordination, or live event delivery
- Pharma-specific experience is not required - any exhibition/industry background is acceptable
- Solid understanding of Health & Safety standards and experience preparing related documentation
- Willing to travel across the EU and work on-site
- Able to work independently, with a proactive and solutions-driven mindset
- Comfortable in chaotic or high-pressure environments

Interview Process - Stage 2
- Candidates will receive a scenario brief (e.g. exhibition booth of a certain size, target audience, delivery goal)
- They will prepare a 10-15 minute presentation outlining how they would approach the brief, focusing on innovation and practical delivery
- Followed by a Q&A session with the hiring manager and members of the team
- The goal is to assess problem-solving, creativity, and hands-on experience
