And right now, we’re looking for a Project Coordinator. Based at our Capenhurst location, the purpose of this role is to provide key technical support, co-ordination and assistance to a Group Projects, Project Team. The role is to provide comprehensive Project Coordination and Administration activities including advice and support, for the Project Team assigned.

Taking day to day direction from the Project Engineering Manager (PEM) the Project Coordinator shall be a key interface between Project Team members and assist with coordination and administration activities across the Project.

In addition, the Project Coordinator will be responsible for collating and producing Project specific reporting and KPIs, whilst supporting in identifying any errors or discrepancies, that will assist the PEM and Project Manager to fulfil their duties.

The Project Coordinator is Line Managed by the Project Coordinator Team Leader, providing support, guidance, training, Ways of Working and expertise as and when required.

What will your day look like?

 

  • Actively promote a pro-active safety culture throughout the project lifecycle and organisation
  • Proactive co-ordination, support and organization to a Group Projects, Project Team including the co-ordination and production of reports and producing project summary reports.
  • Developing and implementing appropriate configuration management procedures. Formatting of functional documentation, creation of GP templates
  • Preparing reports and presentations, handling stakeholder interface
  • Supporting the Project Engineering Manager to own and manage Project Administration and travel coordination, providing reports to personnel where required.
  • Consulting with BU’s project delivery and management teams daily
  • Independent preparation and analysis of presentations, reports and other documents, based on a basic request suitable for delivery at an executive level.
  • Supporting to own, manage and monitor functional actions and deliverables required to be delivered at all levels of the organization.
  • Ability to interrogate and support functional specific information (e.g., SAP, time booking, Vencuro, Ecosys etc)
  • Contribute to local site continuous improvement activities.
  • Arrange meetings, site visits and training events and other events as necessary
  • Meet and greet visitors at all levels of seniority
  • Assist with the on-boarding for new starters for the department and project teams, including training, time booking
  • Integrate with various Group Project functions

What do you need to be great at this role?

 

  • Attained college-level education or equivalent in a relevant field.
  • Proficient in planning and managing meetings, generating documentation, creating presentations, compiling comprehensive briefs, and reports suitable for executive-level delivery. This includes the capacity to identify and rectify any discrepancies or inaccuracies within documents and effectively communicate findings.
  • Competent in engaging with diverse personnel, including those at the Board level.
  • Possessing a foundational understanding of organizational and project requisites.
  • Demonstrating proficiency in Microsoft Office Suite (particularly Outlook, Excel, Word, Visio, Project), company systems such as UShare, Documentum, SAP, Egencia travel booking system, and basic online time booking systems.
  • Exhibiting exceptional organisational and planning acumen, adept at adapting to shifting priorities, managing a busy workload, and overseeing multiple ongoing projects.
  • Assisting in establishing and maintaining a comprehensive project library, along with filing, recording, and reporting systems.
  • Contributing to the refinement of management protocols.
  • Thorough attention to detail, extensive document management, formatting, and quality control.
  • Fluent in business English, as well as conversant in the business language pertinent to the role’s location.
