Information Manager

Role description:

  • Operationally manage project or programme documentation, work to correctly classify all documents and data produced until date.
  • They are responsible for delivering their scope of work in line with budgetary, compliance, regulatory and process Information and document management, and will have deep technical knowledge and broad business experience
  • Ability to select systems and tools appropriate for the work, develop and implement project-specific Information Management and Document Controls processes and procedures
  • Assign and correct document numbers and naming convention to all project documents.
  • There would be an expectation to go to the clients office in Brighton 1-2 times per month.

Role accountabilities:

  • Develop and implement a document control system for the programme.
  • Understand the configuration and administer the different systems used for the control of management of official SW documents, across all teams, including granting necessary access and permissions to all team members.
  • Develop and deliver information management policies, processes, and procedures across the programme.
  • Provide and review use of document numbers in accordance with the agreed MoJ document naming protocols.
  • Align the document control processes with MoJ’s mandatory IM and security management compliance requirements.
  • File, prioritise, and action multiple documents across various projects within the SW SRO Team.
  • Provide communications and training to rollout the developed processes within each project and the use of SharePoint and other similar platforms used for the delivery of the project.
  • Review of the document management function to deliver ongoing service improvement and the maintenance of quality standards.
  • Provide training to all team users, such as information stored, available and useable by the relevant SW Team members.
  • Continuously review the suitabilty of the most appropriate and suitable systems that are used across the SW WfLH.
  • Coordinate with MoJ team the alignment and of BIM protocols and relevant ISO Standards and assist the SW team for correct application and compliance.
  • Correct document naming and numbering to meet standards.
  • Create, Maintain and own the MIDP.

Qualifications & Experience:

  • Relevant business experience across multiple sectors
  • Management of small to medium sized project (AKA ‘core’ sized projects) and experience in major projects and programmes
  • Commercial acumen and the ability to manage relationships with external stakeholders
  • ‘Expert’ level expertise in service capability
  • Knowledge of own community managed and an understanding of service and business lines
  • Experience in managing business relationships at management level
  • Bachelor’s degree or equivalent
  • Relevant professional qualification or chartered status
