Trainee Contract Support Officer

Morson Technical Services have an exciting opportunity for a Trainee Contract Support Officer (HR) to be based onsite on a busy military air station.
This is a permanent position and full on the job training will be provided by a good friendly onsite team, providing an HR service to circa 300 staff. If you like to interact with people, enjoy a variety of admin tasks and an interested in starting a career in HR then this is the job role for you.

Job Purpose

Reporting to the Head of Operations, providing support to the Resources Support Manager (RSM) and working closely with other Contracts Support Officers to ensure delivery of an efficient and effective HR service to employees.

Main Activities and Tasks:

Time and Attendance

• Report all absences as soon as possible and quickly identify and report concerns over missing employees.

• Collate and record holiday, leave and sickness absence updating the recruitment database and HR database as appropriate. Liaise with the Supplier Helpdesk, recommend improvements and escalate concerns to the RSM to ensure a robust electronic HR system.

• Assisting in preparation of weekly/monthly/quarterly reports as requested in order to support contract delivery including preparation of PowerPoint presentations. Employee Experience

• Conduct the company Induction with new starters and exit interviews with leavers.

• Raise offer letters, issue joining instructions and contracts of employment and new starter payroll drafts for new employees.

• Assist in the accurate and timely collation, input and submission of data to Payroll, including salary and allowance adjustments and overtime payments. Ensure that the monthly payroll entries are audited against input and that any inconsistencies are raised and brought to the attention of the RSM.

• Maintain the PDR tracker and produce probation paperwork. Issue completed paperwork to employees.

• Support the RSM in investigations and hearings, conducting and/or taking minutes as appropriate. Health and Safety

• In accordance with the Morson Sickness and Attendance policy, conduct RTW interviews following periods of sickness absence, escalating to the RSM for absence reviews, occupational health advice as appropriate.

• Advise the Health Care Cash Plan provider of any additions, deletions or amendments to policy holders’ information. Forward approved invoices to accounts.

• Assist in the co-ordination of regular personnel health screening and associated Occupational Health appointments.

• Ensure all Personal Protective Equipment is ordered and provided for employees within the budgets and boundaries of the Statement of Work (SoW). Liaise with PPE supplier to ensure an efficient laundry service is maintained at all times.

• Co-ordinate training for new starters and existing employees when required.

• Ensure that all documentation and administrative output is produced in a professional and compliant manner and that the management of personnel files and employee correspondence is in accordance with Company procedures.

• Assist with the organisation of employee forums, meetings and conferences, and produce meeting minutes.

• Co-ordinate visitors’ access to site and host as appropriate.

• Maintain company noticeboards, ensuring accurate and up to date information at all times.

• Provide general administration support for the Head of Operations and Resources Support Manager including but not limited to photocopying, filing, raising correspondence ,creating and maintaining spreadsheets. Undertake any other duties within capability and experience as directed by the Head of Operations or RSM.

  • Ability to work in a team and to proactively support the Resource Support Manager and Head of Operations.
  • Ability to accept responsibility and willingness to learn new skills.
  • This may include attending courses for personal development and instruction in new process, away from site if necessary.

Qualifications & Experience

  • Good working knowledge of office IT applications including MS Word, Powerpoint, Excel and Outlook.
  • Full UK Driving Licence.
