Our client a major Utilities company are looking for a WorkSpace Coordinator for a contract role based in Stepps.

This initially would be a 2 month duration but may lead onto a longer term 12 month role.

Main Purpose of the role

To provide a comprehensive, customer focused Workplace service to the business.

Key Account abilities / Tasks:

Provide a comprehensive Workplace service involving co-ordinating customer requests/enquiries effectively. For example, replacing printer/photocopier toners, setting up meeting rooms, instructions on how to use conference equipment (laptop, pc projector, video conference), dealing with equipment faults & conduct first fix remedials or organising a service or maintenance visit from the supplier.

Health and Safety - provide guidance, for example building inductions, Display/Screen/ Equipment (DSE) risk assessment. Fire procedures including arranging fire warden training, maintaining fire books (main offices only) & lists, ensure tests & drills conducted, liase with Fire Service when required. Maintain first aid supplies and first aider information for offices & depots, such as lists and notices, ensure certificates for First Aiders at offices & depots are up to date, arrange training through HR&D.

Procurement of goods and services (such as IT consumables, stationery), monitor designated spend, purchase cards, process receipts & invoices, close orders, monitor day to day contractor service levels (i.e. cleaning, catering, etc), deal with local problems or escalate to Team Leader as appropriate.
Co-ordinate & action local or non-project internal moves. Assist Team Leader with project or multi-site moves.

Generals housekeeping - proactive in fault finding, e.g. checking signage, walk the building, update notice boards, maintain kitchen points.
Provide various Workplace services i.e. reception, mail, deliveries, replenishing supplies at printing & photocopying locations, maintaining recycling facilities, and general duties.

Security Systems - prepare and issue ID badges, fobs, swipe cards, programme or remove access as approved by a manager, first level fault find when cards do not work, print off standard reports as requested, retrieve ID badges when employees leave Scottish Water.
