Our client is an integrated facilities management services who provide the solutions, support, and facilities management services.
*In coordination with the Data Centre Manager and Asset Manager, lead on all planning of resources to deliver the service, including pre-panned and reactive tasks, delivered through in-house, sub-contracted and third party resources ensuring all task are delivered on time, maximising efficiency and minimising disruption to the facility and in accordance with the service level requirements.
*Ensure only authorised and qualified personnel are assigned to each task.
*Gain and record actions and approvals for the plan, by liaison with facility stakeholders.
*Ensure the accuracy and credibility of the service delivery plan
*Ensure the CAFM system is fully maintained and updated at all times to provide an auditable record of all work.
*Coordinate with supporting staff external to the facility to ensure that they are notified of works requirements in a timely manner and that their work is completed on time.
*Ensure that personnel are issued with forward plans and works instructions and documentation required to complete tasks in accordance with the plan.
*Undertake the processing and following up of work packages, through close liaison with management and supervisors to meet the requirements of the facility plan ensuring that records are closed out.
*Ensuring reasons for waiving, rescheduling or deferring maintenance activities are valid and appropriately authorised.
*Implementation, maintenance and development of the document control centre, ensure all contract documentation is processed, issued, receipted and distributed to appropriate stakeholders and records are kept in accordance with the contract requirement.
*Providing support and guidance to team members to ensure that they produce documents and records as required by the contract.
*Act as the Project PREEN focal point, liaising with contract central resources, to administer Project
*PREEN personnel including:
◦Organising and maintaining records of training and competence.
◦Work related medicals
◦Other general support functions.
*Act as the focal point for procuring resources and services for Project through the central support team and provide absence cover as required.
*Be an "champion" for the AWE Oracle Learning System, intellex, eskills and all other databases used by the AWE team
*Support the Data Centre Manager in the production of reports and returns by providing data and information from the CAFM system and other records.
*Support the Data Centre manager in monitoring work and compliance with contract requirements.
*Review and improve site reporting and data management activities
*Provide support to the Business Improvement Manager as required in identifying and realising innovations and lean working practices
*Any other reasonable duties as requested by Line Manager
*To be able to safely escort and supervise service providers within the facility if required.
*Previous experience in a similar role is essential.
*Ideally have all round knowledge of Facility Management and Building Service Engineering.
*Must have experience in planning and scheduling resources.
*GCSE grades A to C in English Language; Mathematics
*Articulate, numerate and IT literate with proven knowledge of Microsoft Office including Word/Excel/PowerPoint, and ideally Project and Visio.
*Will ideally be experience in the operation of CAFM systems
*Will ideally have knowledge and experience of NEC3 contract procedures.
*FM background and/or similar role is desired
*Have good interpersonal, team working, decision-making and communications skills. Be resilient under pressure and be able to converse confidently with staff, suppliers and customers at all levels
*The ability to organise, plan and prioritise work.
*Must be self-motivated, a team player and have an adaptable/flexible approach working with other trade disciplines to ensure overall safe operation of facilities to meet contract deliverables.
*The ability to communicate with supervisors and peers, providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail or in person.
*Willingness to train, update and develop in the role for the benefit of the contract.
*Ability to think and react to immediate problems and issues without losing sight of or compromising long term goals.
*High standard of personal integrity and professionalism with the adaptability to change.
*Ability to lead and act with authority when required.
*Deductive Reasoning-the ability to apply general rules to specific problems to produce answers that make sense.
*The ability to make decisions and solve problems-analysing information and evaluating results to choose the best solution and solve problems.
*The ability to gather information from all relevant sources.
*Must be DV cleared now and maintain this clearance to remain eligible to undertake this post.
*Must be willing to undertake and maintain additional enhanced security checks.
