To provide administrative support to the Security team that allows them to concentrate on the provision of a high quality security service to site and to provide cover for straightforward personnel security duties during periods of peak demand.
Support the vetting function by being the first point of contact for all of site via email, telephone and security office reception ensuring all queries are passed to the appropriate member of the Security team.
Co-ordinating vetting and pass appointments in collaboration with the Vetting Officers.
Processing of security office documentation to ensure all required paperwork is accessible and available prior to appointments; to interact with Contract Supervisors and Line Managers where necessary to ensure compliance with security requirements.
Initial checking for correctness of security clearance applications prior to formal review by the Vetting Officers. The Security Administration Officer will be given sufficient training to allow them to conduct straightforward vetting interviews during periods of peak demand and as cover for absence.
The compilation and maintenance of personnel security records to ensure its correct whereabouts and to comply with Government and Company regulations. This will include both data entry and physical checking of records.
Maintenance of a records system for security related information such as persons undertaking security induction or escort training.
Operation of site pass equipment to produce site passes and to maintain issue and validity data in accordance with site access arrangements.
Issue authorisation letters for IT and Communications equipment following appropriate checks.
Maintain operational levels of office supplies raising SAP Purchase Requisitions as necessary.
Raise job cards on SAP for maintenance of security related equipment.
Specific know how and technical skills
Excellent interpersonal skills and patience are required to explain complex Government security documentation to customers in order that the documentation is completed correctly and on time.
High degree of attention to detail.
A high degree of integrity and confidentiality are required due to the large amounts of sensitive material that are handled.
Ability to organise documents and records in a logical and structured manner.
Planning skills to ensure that all tasks are completed on time must be coupled with the ability to prioritise.
Good computer skills.
Previous experience in an office environment handling large amounts of information.
Experience with using SAP an advantage.
Good secondary education to at least 5 GCSEs at grade C (4) or above to include English and Maths.
Will be required to take the CPNI training course on Pre-employment Screening.
