Project Secretary
Location: London -
Contract - 6-12 Months ongoing

Sector - OIL & GAS

Job purpose:
Supporting the Project Teams on a day to day basis and acting as Assistant to the Head of Project Management and Senior Vice President

Reporting lines and interactions:
Hierarchically reports to: Senior Study Manager/Deputy Facilities Manager

Typical background, qualifications and experience required:
Must have:
* Word and Excel skills (Intermediate to Advanced), Microsoft PowerPoint
The job holder must have:
* Experience of working within a fast moving, global organisation
It is desirable that the job holder has:
* Experience working on setting up of templates, preparation and formatting of documents and spreadsheets

Main accountabilities:
Project Work:
Support all administration duties on the Project Teams:
* Being available for all project admin activities to support and as directed by the Qatargas client
* Provide ongoing support to the project team to help with reporting, data inputting, data analysis etc with appropriate level of word processing/excel experience etc
* Other activities that fall under project team support not defined above.
* To create and submit all PAFs, ensuring compliance with client requirements and utilising the Project Controls spreadsheets.
* Preparation of Templates for the various projects, Word documents, Excel spreadsheets and Recording Logs, help any project team members with the set up and formatting of documents
* Check and correct the formatting of documents before DCC issue them to Clients
* Filing all Projects Correspondence including all DCC correspondence
* Replenish Project Teams stationery supply & paper stock weekly and keep printers in working order
* To support development of and then provide weekly resourcing reports for project managers.
* Preparation of weekly and monthly reports
* Client Support:
* Meet and greet and responsible for carrying out Office and Safety inductions
* Admin. requirements/support
* Liaising with IT to set up the IT requirements, prepare Wi-Fi passwords
* Travel, Hotel and Taxi bookings/queries
* Organising Teambuilding events (sightseeing, dinners etc.)

Other Administration Duties:
* General office administration as and when needed
Required Competencies:
* Microsoft PowerPoint, Word and Excel skills (Intermediate to Advanced).
