Title: Procurement Assistant (9 month Fixed Term Contract)

Location: London

Salary: £28-32k + benefits

Role overview

The Procurement Officer will report to the Procurement & Supply Chain Manager and will act as a support to the department. The role will work closely with the Legal, and Finance teams to support end-to-end procurement processes and supply chain management activities, for all goods and services. The aim is to deliver the best possible outcome for the business, ensuring internal and external governance are adhered to, with effective management of records.

Key responsibilities

  • Maintaining contract register, collating management information and procurement dashboard
  • Providing timely reports to include pipeline, SME and Commercial standard, any associated reporting
  • Reporting and updating contract management records (e.g. contract management plan/operation summary, contract performance and risks etc)
  • Maintaining Intranet in relation to procurement information / templates/ procurement hub
  • Ensuring data protection processes are followed, completing key procurement/ data protection documents, checking documents with appropriate approvals, and archiving or clearing unnecessary records regularly.
  • Supporting the team/ service users to manage supplier's performance against contracts and key relationships with customers
  • Ensuring proper monitoring of contracts, monitoring and recording the commercial benefits, status of procurement projects, cost -benefit analysis and commercial risks
  • Ensuring each contract is current, signed and stored correctly
  • Collaborating with service users/stakeholders and undertaking appropriate procurement processes
  • Working with internal and external clients to facilitate procurement projects
  • Undertaking sourcing activities and market research, through desk top activities and stakeholder engagement
  • Undertaking due diligence (D&B, annual reports) on suppliers, carrying out supplier reviews (working with IT / data protection teams)
  • Resolving PO queries, gathering contract spend data

Candidate overview

  • Experience in working in public sector organisation
  • Knowledge of procurement cycle and implementation of each key step
  • Understanding of contractual terms and conditions, contract law and latest thinking in procurement
  • Familiar with public and EU/ FTS (Find a Tender) procurement regulations
  • Experience in using procurement and contract management systems
  • familiar of common procurement routes for public sector organisation
  • Qualified to degree level in relevant discipline OR Professional qualification in discipline advantageous
