We are looking to recruit a PA to work for a large aerospace client based in Filton. The role involves providing PA/Secretarial Support to Head of Landing Gear Product & Business Strategy (ELR). The successful candidate will be experienced working at Director level and will ideally have experience working within the aerospace industry.

Main responsibilities;
- Acts as first point of contact, both by telephone, email and direct contact.
- Manages HO ELR diary & appointments, delegations/elimination of diary clashes.
- Manages all incoming and outgoing emails, and formal documents.
- Creates and Manages physical and IT based filing systems.
- Organises all Travel Arrangements (National and International)
- Manages expense claim process.
- Develops and Organises ELR workshops, on and off-site including all selection/booking of venues/ catering.
- Organises ELR formal meetings, and boards, including drafting/ assembly of presentation material from manager and across the team.
- Develops and organises ELR communications activities, within the team and externally to team.
- Visitor management including security requirements and consequential support on site.
- Provides administrative and secretarial support during Monthly Business Review meeting and ELR weekly team meetings, ensuring action documentation and tracking.
- Provide ad hoc holiday / absence cover for other PA/Administrators within the department.

The role will also involve providing Secretarial Support to the 5 Direct Reports including;
- Travel and Expenses
- Arrangement of meetings as required, including attendance list, issuing of agenda
- Booking of Conference/Video Rooms, and Net Meetings, Visual Aids, IT Support and Catering etc.

There will also be some Secretarial Support to rest of ELR team (approx. 20 people) on a case by case basis to include;

The successful candidate will be IT Literate in MS Office products including Outlook, Word, Excel and PowerPoint. You will be competent in use of web based/network based tools. G Suite experience is advantageous. You will have experience of obtaining quotes, raising purchase orders (goods and services). Excellent communication skills are required along with the ability to write reports. You will be capable of handling complex, often multinational /multicultural communications. A professional telephone manner is required along with the ability to self-manage and prioritise own work. You will be a good team player and comfortable when dealing with sensitive and confidential information. You ill also be customer focused with good attention to detail. Good project management skills are required in order to able to plan and deliver projects e.g. organising events internal and external, office relocations, facilities interface, development of administrative processes and tools.
