We are currently recruiting for a part time Receptionist in Edinburgh (a short walk from Haymarket station) on a 7month contract initially. The hours of work are as follows: Monday's and Tuesday's 8.30am to 5pm and Wednesday afternoon's 1pm to 5pm - a total of 19.5 hrs per week (45 mins for lunch on Mon & Tue).

Key Duties for Reception/Administration Staff (but not limited to):

  • Greeting Visitors and Contractors
  • Signing Guests and Contractors in - ensuring they receive relevant H&S information upon arrival
  • Answering and transferring calls
  • Taking and forwarding messages
  • Booking travel - flights, trains, ferry crossings, airport parking etc.
  • Booking hotel and guest house accommodation
  • Booking car park spaces
  • Booking car hire
  • Off-hiring rental cars
  • Booking taxis (on account & cash bookings)
  • Sorting, recording and distributing incoming mail
  • Receiving and recording deliveries
  • Arranging and recording all courier bookings
  • Booking and preparing meeting rooms - daily checks of facilities required
  • Organising refreshments for meetings - tea, coffee, water, biscuits etc.
  • Ordering lunches for business meetings
  • Preparing business lunches
  • Ordering printer supplies, filling paper trays and requesting service calls
  • Franking and recording all outgoing mail
  • Other general administration tasks including -
      • Typing
      • Scanning
      • Binding
      • Photocopying
      • Laminating
      • Printing
      • CD burning
      • Archiving
      • Data Entry
