Morson are proud to own the Interim Recruitment Process for Manchester Airports Group.
We are currently looking on a temporary basis for an Executive Assistant/PA to Directors, the individual will be supporting 3 directors on the Senior Leadership Team in Stansted for a 3 month period. There is the potential for a temp to perm option should things go well.
This role is part of a team of three Assistant's and this role as a Personal Assistant who are designated to a number of individuals for day to day support services. It is essential that the succesfull individual can work well in a team environment.
The PA will provide administrative and flexible organisational support service to the Senior Leadership Team based at Enterprise House, Stansted Airport and where appropriate, to the wider teams
Individuals will need to use initiative to provide a high level of service. They will have regular interaction with a wide range of people and need excellent communication skills, both written and verbal
Principal Accountabilities include;
Organise diaries - planning, coordinating and prioritising meetings and visits and organising travel / accommodation arrangements to ensure efficient and effective use of time
Maintain and develop filing systems, using technology to ensure that there is an accurate and constantly updated source of information
Facilitate meetings as required, organising agendas and necessary paperwork, participating in meetings, taking minutes and distributing information as required, to ensure the smooth operation and recording of information at meetings
Receive, log and prioritise incoming mail, filtering items that do not require the individual attention of the Executive Team, by dealing with them personally or distributing to the appropriate person or department
Make and receive telephone calls, evaluating communications, taking messages, re-directing and filtering calls to ensure all enquiries are dealt with by the appropriate person
Undertake, audio, copy typing and word-processing of reports and correspondence etc., ensuring efficient use is made of available systems and adapting to new systems/technology where necessary
Provide hospitality for visitors to the Company ensuring that a good impression is formed at the first point of contact
Managing adhoc small scale projects
To have responsibility for liaising with Management Accounts and ensuring that orders and invoices are raised
Support with recruitment needs by supporting Senior Leadership Team members by raising the appropriate paperwork, liaising with the HR Service Centre for role advertisement and supporting interview requirements
To manage all Expenses for Directors, whether Manchester or Stansted process, i.e. mileage, cash or credit card
Knowledge, Experience and Skills required;
Experience of various systems, i.e. SAP success Factors, oracle
Experience of providing support to multiple stakeholders at Director level
Organisational, time management and interpersonal skills
Alert and sensitive to the requirements of the team, the Company and contacts
Ability to produce accurate work under pressure and to pay attention to detail
A team player but who is also self-directing and self-sufficient
Excellent verbal and written communication skills
