Fleet Administrator - Worcester

To provide administration support to the UKI Fleet Engineering Maintenance team as required.
Administration of SAP service orders relating to all Planned and unplanned Maintenance activities as required within the organisation.

Duties include but not restricted to:-
* Raising Service orders in SAP for maintenance activities relating to Air Products operational equipment and the processing of all associated invoices
* Maintain Service order processing levels in accordance with agreed SLA's
* Update SAP service orders with relevant maintenance records, Technically Complete and ensure relevant maintenance plans are managed effectively
* Processing of internal inventory stock movement in SAP relating to all operational maintenance as required.
* Creation of Purchase Requisitions against external vendors relating to maintenance activities and the processing of all associated invoices
* Review and monitoring of Non-Personal Mailboxes as required
* Time and attendance entry into SAP.
* Preparation of monthly SAP data reports as required
* Dealing with day to day accounts quires relating to fleet and facilities external vendor activities
* Providing additional admin support to other engineering functions where required

* Ensure that all activities are carried out in a safe manner with full regard to Health and Safety legislation - including awareness of potential Safety issues highlighted from submitted defect reports.
* Create Service Orders in SAP
Receive incoming requests for new jobs via non-personal mailboxes and or relevant personnel. Complete all necessary administration and raise a Service Order in SAP within 1 working day. Ensure all urgent jobs are handled according to agreed process.
* Close Service Orders in SAP
Technically complete Service Orders in SAP using information from relevant work records, selecting service orders according to agreed priorities. Recognise and escalate any queries. Ensure all information supplied on work records satisfies criteria to enable job closure DOCUMENT MANAGEMENT RELATING TO SO CLOSURE
* Manage Non-Personal Mailboxes to ensure that all incoming mail is dealt with promptly and within SLA.
* Create and process SAP purchase requisitions relating to internal and external parts requirements
* Provide administration support for all internal workshop activities where required
* Time and attendance information entry relating to workshop internal resource
* Invoice Processing
Processing of invoices via internal accounting processes.

* Strong Administrative Skills
* High level of accuracy whilst processing high volumes of potentially repetitive tasks
* Strong PC skills - Microsoft Office (essential), SAP (Desirable although training will be given)
* Attention to detail in all aspects of the role
* Ability to manage own workload
* Ability to become part of a small but very inter dependant team of colleagues
