Export Administrator / Shipping Officer required to raise shipping documentation, including (but not limited to)

o Delivery reference, quantity, weights and dimensions, delivery date, customer agreed transport method, Incoterms, packaging specification (including returnable), handling and storage specification, document pack requirements (including import/export documents) and hazard classification

o Manage freight invoices through to closure

The role may also involve some of the following

* Manage the delivery of items towards the designated customer as well as all the other transportation flows (inbound and transfers between sites) according to requirements

* Identify all shipping requirements in terms of transportation characteristics and modes, packing and handling aspects, identifies all the documents that are required to accompany the shipment (contractual, legal, export control, and other documents), plan and control the shipment preparation and execution operations and ensure the required track and trace.

* Work with Trade Compliance and Project Management to insure the compliance of the transportation activity to the applicable laws and regulations.

* Manage returnable packaging items and flows and optimise transportation costs

* Assist and support line manager by performance of prescribed tasks within the function, and as required to support the customers within the Services and Central Operations (SCO) perimeter

* Is responsible for adhering to current regulations in terms of Health, Safety and Environment (HSE) within the SCO industrial perimeter

* Support the trade compliance function during audits as required

* Prepare and organise warehouse and distribution

o Via the 4PL provider:

o the pick, pack, labelling and location for delivery

o that the appropriate transport methods have been applied (most cost effective within requirements)

o planned departure dates are adhered to o ensure packages are (with the support of the 4PL provider) packed appropriately, loaded responsibly, and that all key paperwork is provided to the courier

o Collect and collate required contractual documents (defined either by trade compliance, project manager or both) specifically to include legal requirements regarding import/export authorisation (confirmed by trade compliance).

o Ensure all freight, packing and dispatch invoices are reviewed and approved in a timely manner

* Prepare import documentation

o Communicate with airline agents to ensure that goods arrive in a timely manner and in good physical condition to the required company and/or customer site. Use the 4PL solution where possible to handle the physical activity

o Arrange transport, through the 4PL provider, from suppliers in the most cost effective manner to assure safe delivery

o Working with Trade Compliance to ensure all import files and reports are maintained to comply with internal and external audit expectations

* Prepare export documentation

o Undertake all 'Letter of Credit' shipments, with the support and guidance of the trade compliance function

o Manage complexity surrounding onerous export shipments as required

o Ensure all export files and reports are maintained to comply with internal and external audit expectations

o Obtain the approval of Carnet applications from the trade compliance team

o Monitor and progress the return of any temporary export (other than loan/exhibition)

* Advise the site Lead Trade Compliance Officer of any situation liable to result in a dispute or violation in relation to any compliance issue. Comply with

o Understanding of the importance of import/export processes and their compliance requirements

o Aware of shipping/logistics management

o Excellent communication skills (understands the expectations of stakeholders)


o Understanding of UK export and import regulations o Understanding of US regulations (ITAR and EAR)

o Broader international compliance requirements



o Min. 1 year's experience in a shipping/logistics/compliance role

o Experience of complex industrial environments

o Use of operational toolsets (e.g. MRP/ERP, WMS etc)


o Experience within world-class similar industrial activity

o Defence/security operations activities (low/medium volume)



* Recognised accreditation in logistics or compliance activities

* Lean awareness (e.g. 5S, kaizen, green belt/six sigma etc.)

o Associated degree or equivalent recognised logistics/compliance qualification

For the right candidate this may lead to a permanent role. Shipping / Export experience is required full training will be provided in other aspects of the role.

Recognising the RESTRICTED nature of the work, suitable candidates will be SC cleared or eligible for this level of clearance.
