Executive Secretary; based in Preston, 3 month contract; £16.57 per hour

An exciting opportunity has arisen for an Executive Secretary to work for BAE Systems supporting the Head of Fast Jet Support Hub, along with a team of Executive direct reports spread across various departments. This is a very busy role requiring the successful candidate to interact on a daily basis with senior people both external and internal to the business. Excellent communication skills are required for regular contact at all levels of the organisation employing appropriate interpersonal skills in stakeholder management. The successful candidate will ideally have a wide knowledge/ understanding of the BAE SYSTEMS Air (UK) business, organisation and key stakeholders and be able to develop a network of contacts across the organisation. You will have the ability to build effective relationships at all levels and to work effectively as a team member.

Duties will involve;
Dissemination of information.
Diary management (travel, time management, task management, meeting packs etc.).
Travel bookings (UK and International) and associated expenses processing
Ability to set up Skype and HDVC - local and international as required
Email management (draft responses, delegated to action, correspondence, archiving)
The ability to manage numerous conflicting priorities and last minute requests
Coordination of visitors to site
Prioritising workload, use own initiative, multi -tasking.
Continuously seek improvements and share best practice.

Document Creation & Management:
Co-ordination of briefing material to appropriate timescales and in a suitable format required.
Appropriately deal with highly sensitive, confidential or privileged information.
Office Management (meetings, paper work, record management)
Administration, fling and printing.
Document management (confidentiality, security, classifications).
Preparing materials for meetings (agenda, minutes, slides, notes, actions).
Preparation of presentation material (using PowerPoint).
Reconciliation and submission of expenses using the Concur system

As Executive Secretary you will have excellent planning & organising skills. You will have the ability to work on own initiative and to take independent action where required. Sound judgement is required in decision making and problem solving.The successful candidate will be highly professional in approach and have the ability to manage heavy workload and challenges whilst working flexibly and proactively. A 'can do' attitude and enjoyment of working as part of a large team is essential. You will also be proficient in the use of MS Office packages.
