Title: Executive Assistant
Location: Samlesbury, Preston
Duration: 12 months
Hours: Full time, 37 hours
Rate: £16.97 per hour PAYE

Our client in Samlesbury is currently recruiting for an Executive Assistant to provide high level support to senior stakeholders in their Air Sector division. This is a very busy role requiring the successful candidate to interact on a daily basis with senior people both external and internal to the business. As Executive Secretary your key responsibilities will involve:

-Diary management (travel, time management, task management, meeting packs etc.).
-Organising WebEx and HDVC - local and international as required
-Email management (draft responses, delegated to action, correspondence, archiving)
-Coordination of visitors to site including tours as required
-Document Creation & Management
-Co-ordination of briefing material to appropriate timescales and in a suitable format required.
-Appropriately deal with highly sensitive, confidential or privileged information.
-Office Management (stationary, meetings, paper work, record management)
-Administration, fling and printing.
-Document management (confidentiality, security, classifications).
-Preparing materials for meetings (agenda, minutes, slides, notes, actions).
-Preparation of presentation material (using PowerPoint).
-Planning & Organising

Skills and Experience

-Extensive experience in an Executive Assistant role within a large and complex business environment
-Highly professional in approach and have the ability to manage a heavy workload and challenges whilst working flexibly and proactively
-Proficient in the use of IT Systems including creating, updating and consolidating PowerPoint, Word and Excel documents
-Reconciliation and submission of expenses using the Concur system
-Knowledge of the operational framework in terms of policies and procedures, (e.g. Code of Conduct, Gifts & Hospitality etc.).
