ROLE AND RESPONSIBILITIES

Support Project implementation

Quality Check information received, ensuring the information is accurate and up to date and meets the contracts requirements

Assist the document control team with the issue, receipt and tracking of Supplier, Sub Contractor and Engineering information through to the close out and handover stage

Assist with quality checks and audits of information, identifying and correcting any anomalies

Maintain management information, statistics and KPIs accurately and report as required

Expedite information that is not delivered by the planned date and inform the Manager if parties are not complying with requirements.

Ensure controlled copies of latest approved documents and drawings are issued to the appropriate staff, subcontractors and suppliers as applicable

Maintain the files and control logs as required by the project

Organise, manage and file document receipts and distribution lists, project documents and drawings in conjunction with project and corporate naming and numbering procedure

Issue and receive controlled documentation and create general electronic transmittals to the project, customer and suppliers

Archive, retrieve and store documentation adhering to company standards and policies Check all information complies with specified company formats, templates and standards

Endorse the corporate content management system ensuring business system continuity is met

General document control activities such as photocopying, scanning, quality checking of metadata and documents

Maintain accurate registers and actions lists

Carry out routine document management administrative tasks including document release and publishing, technical query handling, transmittals, filing, copying and local library management


QUALIFICATIONS AND EDUCATION REQUIREMENTS

Proficient in computer software programs such as, word processing, spreadsheet programs and database systems

Basic analytical experience

Proficient typing skills

Data organization and storage knowledge.


PERSON SPECIFICATION

You will be experienced in the role of Document Controls and have maintained this role previously for a minimum of 3 years

You will have a strong eye for detail in order to ensure quality of data outputs prior to submission to the client

Professional approach

Excellent communication skills at all levels

Able to set and agree targets and hold individuals, teams, suppliers accountable for performance

Able to provide respectful challenge and feedback to Clients, suppliers, senior managers and stakeholders

Able to understand and articulate complex issues and provide guidance and direction on the resolution
