Document Controller, Contract, Plymouth
Due to the nature of the position , SC Clearance is required
Role Outline/Responsibilities:
Accountabilities:
* Document register
* Ongoing tracking sheet recording engineering and commercial documents status as required
* Records of correspondence (emails and letters) sent to and from the Contractor
Key Responsibilities
* To receive, check, log, distribute and issue/control of internal and supplier documentation using the project electronic document management system, in accordance with prescribed deliverables schedules and within agreed timescales
* Control of receipt, registration, scanning, distribution, filing and archiving of electronic and hardcopy formal internal and supplier documentation & correspondence
* Check all received documentation is legible and contains appropriate approvals
* Expediting of supplier documentation in accordance with deliverable schedules
* Ensure all project documentation is processed, transmitted and filed in accordance with the project electronic document management system, and can be retrieved in an accurate and timely manner
* Produce and distribute status reports to the project team when required
* Ensure all current and relevant documentation is uploaded to the document management system in accordance with the company metadata standard and business classification system / file plan
* Retiring relevant documentation when reaching superseded, cancelled or obsolete status
* Policing the document control process throughout the project team
* Providing first line document control and electronic document management system training support to the project team
* Assist project personnel to find documentation when requested
* Review and continuously improve the document control processes and procedures and to suggest solutions as appropriate
* Ensure the business areas use, access and store physical and electronic information in compliance with corporate and local policy, work instructions and individual business area requirements
Qualifications and Experience
- UK Sole National
- Has SC or ability to obtain SC clearance
- Competent in use of Microsoft Office Word, Excel, Powerpoint
- Good communications skills at all levels
- Good organisational skills
- Good facilitative skills
- Good knowledge of different document management systems
- Knowledge of Engineering, Commercial and Document Management procedures
- Basic engineering knowledge
- Previous use of on EDMS system
- Previous Document Control experience of 3 years in a Construction / Engineering background
