Responsibilities

1 To take ownership and responsibility of fulfilling customer needs, maintaining excellent working relationships and ensuring all requests are met, dealing with all associated queries and complaints whether received by telephone, fax, letter or e-mail

2 To answer incoming telephone calls, dealing with the call personally or distributing it to the relevant person

3 To receive and process sales orders, whether received by e-mail, fax, letter or telephone, completing the sales order processing work flow using the computerised system

4 To check sales orders have been processed accurately

5 To effectively deal with customer enquiries regarding prices, stock availability, delivery lead times and progressing orders, chasing carriers, obtaining delivery status, and technical information

6 To prepare customer quotations ensuring prompt despatch to the customer, contacting the customer to discuss and gain the sale

7 To raise sales invoices and credit notes.

8 To undertake customer satisfaction surveys, gathering information and creating actions as required

9 To maintain customer and product database files

10 To keep customer's contract sheets and prices updated

11 To check that packing lists and invoices match and there are no discrepancies and to carry out remedial action as required

12 To attend morning production meetings as required

13 To maintain files and customer archives as necessary

14 To liaise with and provide support to Regional Sales Managers

15 To participate in pro-active marketing projects

16 To seek continuous improvement in relevant areas of the business, working as appropriate in cross-functional teams

17 To work within, and according to, statutory and company health & safety regulations and guidelines, pro-actively contributing to a safe and healthy working environment

18 To undertake any other duties as reasonably requested by management

Personnel Specification

The job holder should:

1 Be competent in using and working with computers and information technology, including Microsoft Office Suite - word, excel spreadsheets and outlook and possess experience in using a database program. Training will be provided for any In-house programs

2 Possess the ability to work with a high degree of accuracy, displaying good numeric skills, to ensure sales orders are correctly processed

3 Possess good interpersonal skills, having the ability to develop and maintain good working relationships with both our external customers and internal customers

4 Possess good training skills, effectively passing on skills and knowledge and checking understanding and competency

5 Be able to work on own initiative with minimum supervision, able to prioritise own workload ensuring targets and deadlines are met

4 Possess the ability to communicate effectively with people at all levels, displaying an excellent telephone manner

5 Be willing to undergo future training and development as required by the role and management in order to attain business objectives and goals
