Job Specification - Compliance Administrator

Reports to

Compliance Manager

Line Management Responsibility

None

Key purpose of role

To ensure the compliance of all Sentinel sponsored individuals

Key Tasks

Compliance Administration

  1. Ensure that application documentation is distributed to Operations for anybody wishing to register.
  2. Checking that completed packs are 100% correct, before sponsorship is considered.
  3. Collating documentation and creating a personnel file for each candidate
  4. Pre-employment checks on the Sentinel website for each candidate.
  5. Ensure both Medical / D&A certificates are current and valid for all candidates. Ensure each candidate has up to date rulebooks / modules.
  6. Validate Sentinel cards on the Sentinel hotline for all candidates.
  7. Ensure references have been taken for all candidates.
  8. Ensure Proof of ID and NI number has been provided for all candidates.
  9. Sponsoring / de-sponsoring all candidates.
  10. Notifying Operations re training / assessments / sponsorship / competency expiry dates.
  11. Photocopy, log and arrange distribution of all new Sentinel cards.
  12. Advise Operations personnel of each candidate sponsored / de-sponsored, for the safety briefing email file.
  13. Provide assistance during any internal and external audits.

Database Management

  1. Record the personal details of all candidates
  2. Record the issue of PPE to all candidates
  3. Record the competencies of all candidates and maintain appropriate records.
  4. Record the Sentinel card arrival & distribution
  5. Record the receipt of updates to the rulebook and health and safety briefings.

General Administration

  1. Answer and process incoming calls.

Personal Development

  1. Identify any personal development areas and agree appropriate method of delivery with line management.
  2. Ensure that you are kept informed of any developments or changes within the recruitment industry and Sentinel
  3. Represent the organisation at external events and training sessions and ensure that any learning is shared with the team.
