Job Description - Commercial Assistant

This is a varied administration role working with all consultants and Directors at The Bridge. The role also entails liaising with Morson Head Office. The role will involve the following duties:

Responsibilities

Commercial Support

  • Production and execution of contractor and client contracts
  • Carrying out commercial research
  • Assisting with writing Tenders in an accurate and commercially viable manner

Finance Support

  • Ownership of the contractor timesheet portal liaising with contractors and clients with login details and simple queries
  • Managing the remittance inbox and responding to contractors as and when required
  • Managing permanent placements liaising with consultants and Morson finance team
  • Managing the placements spreadsheet with regards to predicted permanent fees and job board analysis

Maintain a Central Filing System

  • Keeping the Tender folder updated/company policies

Office Management

  • Managing office stationery orders; watercooler; confidential waste bin; recycling bins
  • Dishwasher rota
  • Facilities Management (electricians/plumbers etc) including attending and reporting back on CBRE Tenants meetings
  • ETS communications - ensuring phone systems are updated with staff names and extensions
  • Fire safety duties

New Starter Induction

  • Overview of company and the role
  • Ensure computer, email address, phone set up and access card are in place
  • Relevant information to Morson HR team for their on-boarding process

GDPR

  • Continual monthly compliance audits
  • Password changes

General Administrative Support

  • Working closely with the Directors and consultants to provide administration support as required
  • Working to meet multiple deadlines
  • Booking meeting rooms

Events Management

  • Organise the Christmas Party and other ad hoc events and incentives
  • Office lunches as and when required

Recruitment

  • Internal resourcing of resourcers and consultants as and when required

Marketing Support

  • Management of social media
  • Engaging with potential and existing candidates and clients as and when required
