Business Support Assistant; Location: Farnborough; Duration: 3 months; Pay: £12.00per hour
We are looking for an individual to provide business support to the Group Head of Export and a team of 7.

Key Accountabilities

Dairy management including meetings, blocked time, enquiries, availability and travel
Team dairy management - reminders for deadlines. Managing enquires on their availability
Sending annual leave for team members to team / recording team member location for security purposes
Feedback from each team member demonstrates expectations being met
Agreement reached with each team member as to what you require from that team member to properly discharge your role
Expenses - Responsible for expenses collation and submission for the GEC team
Travel - Responsible for arranging national and international travel and accommodation for the GEC team:
Become a team super user of travel village system
Obtaining travel options (e.g. flight or rail time options)
Obtaining accommodation options and costings
Preparing travel itineraries & making adjustments as required
Travel and accommodation bookings accurate and on time
Key Meetings - Planning, organising and administrative support for key meetings as requested by team:
Suppliers Working Group - room booking/refreshments/invitations to attendees/ distribution of agenda.
Functional Council - room booking, refreshments and invitations to attendees
Key meetings successfully held
General Administration - General office administrative as required:
Various printing / photocopying requests
Prepare formal submissions to third parties on company letterhead (hard copy and scanned soft copy)
Formatting / creating document packs
Ordering stationery, liaising with Facilities, Security and IT support
Arrange couriers (i.e. DHL) and deliveries
Manage team IT assets (i.e. pool laptop etc)
Liaise with security around team and guest passes
Co-ordinate removal of legacy documents on LVIS system
Team feedback indicates tasks being completed successfully, on time and to a high standard

Events - Administrative support to the organisers of the annual Export Control and Compliance Conference & the Export Control Development Centre:
Production of Brochure - Collating all attendee details and dietary requirements, create mail merge, organise printing of brochures
Liaison with all external speakers for arrangements and information
Creation and production of name badges
Formatting of agenda
Responsible for IT set up and AV support during the event
Events delivered successfully with positive feedback
Candidates should have experience of supporting a member of a management team, and be proficient in the use of MS Office packages. Candidates must also have previous diary management, event management and arranging travel.
