An exciting opportunity is available to provide administrative support to the project teams of a large organisation. The role will involve processing timesheets, arranging meetings, maintaining data and providing administrative support


The role Includes:
- The provision of administrative and project support for the Equipment Project teams
- To support and monitor EPM team achievement against business requirement deadlines including administrating the order fulfilment process
- Completion of weekly timesheets, action trackers, HR reporting and overheads budgets i.e. Stationery, T&S, entertainment etc

Key Technical Skills:
- Familiarity with Microsoft Office Software PC literate, with knowledge of IFS beneficial but not essential
- Appropriate spread sheet processes, word processing and other relevant software
- Conducting and analysing historical data on project documentation
- Producing and providing detailed project control reports
- Basic understanding of Time booking systems
- Basic knowledge of Company Software

Top Major Tasks and Activities:
- Receive and process customer orders on Exostar
- Sales order processing in IFS
- Raise Project requisitions in line with customer orders and agreed contract pricing
- Receipt goods when delivered on IFS and initiate customer invoice process
- Update project customer and supplier prices as and when required
- Update project spread sheets ensuring alignment with supply and procurement elements, ensuring attention to detail is paramount
- To maintain action trackers and project spread sheets as detailed by relevant Equipment Project Manager
- To provide administrative and project support to the Equipment team Co-ordination of timesheets from staff, inputted into IFS where necessary in support of Line Managers
- Facilitation of meetings and workshops including booking and coordination of Conference Rooms and refreshments
- Attend customer meetings and take meeting minutes
- Production of post meeting minutes including actions accrued
- Assist in supporting all documentation and processes for timely delivery of Monthly, Quarterly and Yearly Project Reports
- Photocopying, scanning and binding presentations and documents
- Ordering of stationery, booking of travel and accommodation for the Equipment team and monitoring expenditure
- Assist in the production of the Tier 1 Contract Review packs
