Purpose of Job

To provide administrative support to the Business Support department within a leading international business

Key Job Accountabilities

- Support to the companies Conferencing Service:
- Provision of refreshments to the meeting rooms
- Order and maintain stock required for the above provision
- Maintenance of Coffee Machines

Provision of basic stationery and consumables to the meeting rooms
- Ensure agreed list of items are available within the rooms

Daily Checks of all the conference rooms:

- In addition to the daily stocking of refreshments and stationery provision undertake the following checks:
- The rooms are configured as requested
- Information pack is within the room
- All equipment that should be within the room is available
- White boards are clear and clean
- Flip Charges are stocked and used paper is discarded
- Rooms are generally tidy, loose wires are covered by trip mats etc
- Electrical Equipment within the rooms are within PAT Tested dates

Business Support

- Provision of Hospitality Supplies on behalf of the business:
- Order and maintain stock required for the above provision
- Support staff with photocopying, binding and laminating
- Provide assistance and absence cover to all support roles as required and agreed through manager

Distribution Officer

- To provide a mail delivery and collection service to the business.
- Daily Sorting and delivery of mail (internal & external) to the offices
- Daily collection of mail from the offices which is sorted and prepared for delivery by Royal Mail and Parcel Force services
- Recording in a register all incoming post which requires a signature
- Recording all incoming classified post into a register
- Classified mail checked and prepared according to destination
- Maintain records of mail expenditure and demand tasks.

The hours for this role at 07.30 - 15.30 Monday to Friday.
