Environmental Health and Safety Administrator; Portsmouth; 6 months contract; Full time
To provide a high quality of secretarial and administrative support to the Environmental Health and Safety (EHS) Department and the Occupational Health (OH) Department, you will be working for our client based in Portsmouth.
Your main duties will include;
Diary management for Head of EHS, the EHS team and OHAs
Provide support to the Head of EHS, the EHS team and OHAs
Typing of correspondence to include e-mails
Organising meetings, workshops and functions large or small, on and off site. Taking the Minutes, transcribing the Minutes and distribution
Organising meeting rooms, catering and refreshments for meetings
Typing of Policies and Procedures
Taking telephone messages and passing them to relevant person
Ordering stationery and DSE items as and when required all main sites
Distributing Eye Test Vouchers
Obtaining signatures for invoices, forwarding invoices to accounts and maintaining the budget spreadsheet
Raise LOLs annually for Health and Safety and Occupational Health Department
Be responsible for the expenses for the department and ensuring they are done in a timely manner
Organising travel arrangements for the department and ensuring the bookings are correct prior to travel and the traveller has all the relevant information required
OH department filing at three main sites
Archiving personnel records at three main sites
Booking visitors onto site via the security process
Liaise with outside companies to arrange Lunch and Learn events at all three main sites. Send out invites to all staff members requesting to attend the lunch and learn event. Arrange room set up and lunch
Willing to undertake any reasonable requests from department
Maintain the training spreadsheet for all internal training carried out by the department.
- RSAIII typing skills preferred but not essential
- Shorthand skill - not essential.
- Be able and willing to work within a team
- To work unsupervised
- Respect the confidentiality and privacy of staff at all times
- Flexibility to undertake any reasonable tasks
- Willing to travel.
