Our client is looking for a Adminstration Support Officer for a 2-4 year contract role based in Lossiemouth.

Your Role

The tasks required for this Admin Support Officer, supporting a Programme Management Office based at RAF Lossiemouth are varied but require the following experience:

Evidence of effective analysis and assimilating information
Evidence of problem solving skills and adaptability
Experience of working in a support role in a project or operational delivery environment
Experience to assess, design and implement processes as required
Experience of bringing innovation and creative thinking to build outcomes

The successful candidate will be working in a busy office environment, with excellent IT literacy and general administrative skills.

Providing administration support for the Programme Management team including:
Filing, typing reports, creating excel reports, updating trackers and spreadsheets as required.
Formatting, collation and issue of reports, proposals and presentation material
Carry out general office duties including binding, photocopying, post, filing if required
Arranging meetings issuing calling notices and agendas, preparing meeting papers and arranging meeting rooms.
Acting as secretary for meetings when required.
Assisting in booking travel to include rail, hotels, car hire and air travel
Assisting with finance duties such as:
Producing draft project Initiation (PIN) forms for new projects and fee uplifts
Running reports from the company accounts system
Liaising with the company accounts teams
Purchase order chasing
Chasing timesheets and logging expenses
Organising HR records:
Updating CVs and training records
Collecting holiday/self-certification records

Management of programme documentation filing and data retrieval, distribution of reports and returns, posting of information to the shared information portal and preparation of handover documentation
Resource management coordinating team calendars to meet commitments, monitoring of site acceptance schedules to ensure they are resourced and prepared for.
